During the proofing process, we provide a representative sample of your full data file rather than the entire dataset. This allows you to efficiently review formatting, personalization, and merge accuracy before production.

When a complete file is submitted, we generate a sample (typically 5–10 records) based on factors like segmentation, special formatting, and data variability. If no segmentation is present, we select a mix of records—such as those with the longest and shortest entries or the most populated fields—to ensure a thorough review.

If you’d prefer to review specific records, feel free to let us know which ones to include, or you’re welcome to provide your own sample file.
